This transaction communicates information about an individualâs employment status to designated recipients. Typically sent by employers, benefits administrators, or government agencies in response to inquiries from state workforce agencies, unemployment insurance programs, or other authorized entities requesting verification of employment. The BGN (Beginning Segment) establishes the transaction purpose and date, while the NM1 (Individual or Organizational Name) loop identifies the subject employee and other relevant parties. The ENT (Entity) loop and its child segments, particularly EMS (Employment Position), convey specific employment status details including position information and employment dates through associated DTM (Date/Time Reference) segments.
For example, when an individual applies for unemployment benefits in Ohio, the state workforce agency sends an X12 540 to verify employment history with Acme Manufacturing Company. Acmeâs HR system receives the transaction, which contains the employeeâs name and identification in the NM1 loop and details about their employment statusâsuch as job title, employment dates, and current employment positionâwithin the ENT loop.
