Grant or Assistance Application

This transaction set enables organizations to submit applications for grants or other forms of assistance to funding agencies or grant administrators. Applicants—such as nonprofits, educational institutions, government entities, or businesses—send the 194 to a grantor or administering agency in response to a funding opportunity or solicitation. The BGN (Beginning Segment) establishes the application’s purpose and context, while the HL (Hierarchical Level) segments organize the application into a structured hierarchy of items, budgets, and requirements. Supporting information is provided through optional segments like DTM (Date/Time Reference) for deadlines and key dates, AMT (Monetary Amount) for requested funding amounts, and NM1 (Individual or Organizational Name) for applicant and contact party identification throughout the application structure.

Consider a scenario where the American Foundation for Education sends a grant solicitation, and Lincoln University prepares its application using the 194 format. The university’s submission includes an HL loop hierarchy that breaks down its proposal into project phases, each with associated costs captured in AMT segments. Within the hierarchical structure, an LX loop identifies key personnel—the project director and finance officer—with their contact information in PER segments and demographic details in DMG segments. The PO1 loop itemizes equipment purchases needed for the project, while PL loops outline the cost logic and budget justification. Attached paperwork references are noted in PWK segments, and all dates—application deadline, project start, and milestone markers—are recorded using DTM segments, creating a comprehensive grant application package for the foundation’s review.
