This transaction set enables educational institutions to respond to requests for student transcripts and educational records. Schools, colleges, universities, and transcript service providers send the 147 to requesting organizations such as employers, other educational institutions, or government agencies. The response provides validation of the original request through the AAA (Request Validation) segment, identifies the students whose records are being provided via the IN1 (Individual Identification) segment, and references the original request using the REF (Reference Identification) segment. The N1 Loop identifies the parties involved—such as the responding institution and the requesting entity—along with their contact and address information.

When Lincoln University receives an employment verification request from TechCorp Industries for transcript information on alumnus Sarah Chen, the university’s records department sends an X12 147 response. The transaction validates that TechCorp’s original request met requirements through the AAA segment, includes Sarah’s identifying information in the IN1 and IN2 segments, and cross-references TechCorp’s original request number in the REF segment. Lincoln University’s administrative contact information appears in the N1 Loop, enabling TechCorp to follow up if needed. Multiple students’ records can be included in a single 147 transaction if the request covered multiple individuals, with each student represented in a separate IN1 Loop within the same message.
