Educational Course Inventory
Educational institutions and course management systems use the Educational Course Inventory transaction set to communicate detailed information about available courses. Educational administrators or course coordinators typically send this transaction to registrars, enrollment systems, or partner institutions that need to maintain current course catalogs. The transaction is often sent in response to a course information request or on a scheduled basis to keep inventory systems synchronized. The ERP (Educational Record Purpose) segment establishes the context for the transmission, while the N1 (Name) loop identifies the sending and receiving organizations involved in the course inventory exchange. The CSE (Educational Course Information) loop, which can repeat unbounded, contains the core course details, with supporting segments like DTP (Date or Time or Period) providing enrollment windows, start dates, and other temporal information relevant to course availability.
State University’s Course Management Office uses this transaction to send its comprehensive course inventory to the system managed by the state’s higher education coordinating board. Each spring, the university transmits an EC188 transaction listing all courses offered for the upcoming academic year, including course codes, descriptions, credit hours, and enrollment capacity. For courses with prerequisites or restrictions, the CSU (Supplemental Course Data) segments provide additional requirements, while REF (Reference Identification) segments link courses to department codes and program requirements. The coordinating board’s system receives the transmission and updates its centralized course database, making this information available to students, advisors, and other institutions within the state higher education system. If course information changes mid-year, the university can send updated EC188 transactions to reflect cancellations, schedule changes, or new offerings.
