814 General Request, Response or Confirmation

This transaction set is used to communicate general requests, responses, or confirmations between trading partners in various business contexts. Typically sent by one organization to another—such as a supplier to a customer, a financial institution to a business, or vice versa—the 814 may be transmitted in response to a prior inquiry or as an unsolicited communication. The BGN (Beginning Segment) establishes the purpose and context of the message, while the N1 and NM1 segments (Name loops at the header and detail levels) identify the parties involved. The LIN (Item Identification) segment allows for itemized details when the request or response pertains to specific products, services, or line items.

Consider a scenario where ABC Manufacturing submits a general confirmation to XYZ Logistics regarding the status of a recent shipment request. ABC Manufacturing structures the 814 with the BGN segment indicating a status confirmation, uses an N1 loop to identify XYZ Logistics as the recipient, and includes a LIN loop to detail the specific order line items being confirmed along with relevant reference numbers and dates via the REF and DTM segments. If accounting details need to be attached—such as cost allocations or GL account assignments—the FA1 and FA2 segments within the LIN loop provide that financial context. XYZ Logistics receives the transmission and processes the confirmation to update their order management system.
