Vehicle Service

This transaction set communicates vehicle service information between trading partners involved in transportation and fleet management operations. Typically sent by service providers, repair facilities, or fleet operators to customers, brokers, or logistics coordinators, the Vehicle Service transaction set documents service events and related details. The BVS (Beginning Segment for Vehicle Service) segment establishes the transaction’s context and purpose, while the VC (Motor Vehicle Control) segment within the repeating VC Loop identifies specific vehicles receiving service. Supporting segments such as G62 (Date/Time) provide temporal context for when service occurred or is scheduled.

In practice, consider a scenario where ABC Fleet Services completes maintenance on a shipment of trucks operated by XYZ Logistics. ABC Fleet Services transmits an X12 121 transaction to XYZ Logistics documenting each vehicle serviced. For each truck, the VC segment identifies the vehicle, followed by optional DTM segments recording when service began and ended, DEL segments noting delivery or pickup of the vehicle, and CGS segments detailing charges assessed. This structured format allows XYZ Logistics to automatically receive, validate, and reconcile service records against their fleet records and accounting systems without manual data entry.
