A Functional Group Totals transaction set is a control and reconciliation document used to verify the accuracy and completeness of batched EDI transactions. Typically sent by a trading partner who has compiled multiple transaction batches, it is received by the counterparty for audit and validation purposes. The transaction set serves as a response mechanism to confirm that all expected transactions have been properly grouped and accounted for. Key segments include the ST (Transaction Set Header), which opens the transaction and assigns it a control number; the BT1 (Batch Totals) segment, which appears up to ten times to provide summary information such as record counts and monetary totals for each batch; and the SE (Transaction Set Trailer), which closes the transaction and validates the segment count.

Consider a scenario where Retail Corporation sends daily purchase orders in multiple batches to Supplier Inc. At the end of the business day, Retail Corporation generates and transmits a 980 Functional Group Totals transaction set summarizing all batches sent that day. The BT1 segments within this 980 provide batch-level counts and totals—for example, one BT1 might indicate “Batch 001 contained 150 purchase orders totaling $250,000,” while another might show “Batch 002 contained 87 orders totaling $145,000.” Upon receipt, Supplier Inc. uses these totals to reconcile that all expected transactions arrived correctly and completely, confirming that the 237 orders worth $395,000 were accounted for before processing begins.
