831 Application Control Totals

This transaction set transmits application control totals, which are summary counts and monetary values used to verify the accuracy and completeness of data exchanged between trading partners. Typically sent by a system or EDI processor to a receiving partner, it serves as a reconciliation tool following the transmission of detailed transactional data. The BGN (Beginning Segment) establishes the context and purpose of the totals being reported, while the QTY (Quantity) segments capture item or transaction counts, and the AMT (Monetary Amount) segment within the optional AMT Loop records financial totals that must be reconciled against the source data.

Consider a wholesale distributor, Global Parts Inc., that transmits hundreds of purchase orders to its supplier, Northeast Manufacturing, each day. After the order batch is processed, Global Parts Inc. sends an 831 Application Control Totals transmission to Northeast Manufacturing containing a total order count (via QTY), the aggregate dollar value of all orders (via AMT), and reference identifiers linking back to the original batch (via N9). Northeast Manufacturing receives this 831 and compares the reported totals against what they received and entered into their system. If the counts and amounts match, the batch is considered complete and accurate; if they do not match, Northeast Manufacturing can quickly identify that some orders may have been lost or corrupted in transmission, triggering an investigation or retransmission request.
