851 Asset Schedule

An X12 851 asset schedule communicates detailed information about assets, their associated costs, and related financial or operational details. Typically sent by asset owners, financial institutions, or service providers to recipients such as lessees, insurers, or regulatory bodies, the 851 may be transmitted in response to a request for asset documentation or as a periodic submission. The transaction uses the BLS (Beginning Segment for Asset Schedule) segment to establish the schedule’s purpose and scope, the LS1 (Asset Item Identification) segment to identify and describe individual assets within the schedule, and the PAM (Period Amount) segment to convey time-based financial amounts associated with each asset or the overall schedule.

For example, a leasing company might send an 851 to an insurance provider listing equipment under lease. The N1 loop identifies the lessor, lessee, and insurance contact parties with their addresses and administrative contacts. Within the LS1 loop, each asset appears separately—a construction crane might be identified via the LS1 segment, with details provided through LIN (item number), PID (physical description), CTP (rental rate), and PAM segments (monthly lease amounts). Multiple assets repeat this structure, and the CTT (Transaction Totals) segment at the end summarizes the count and aggregate amounts, enabling the insurance company to verify coverage against the lessor’s documented asset portfolio.
